You retain ownership of all artwork, logos, designs, images, brand assets and other materials you upload. By uploading files, you grant Stencil Audio a limited, non-exclusive permission to store, copy, review, adapt, proof, print and reproduce those files solely for the purpose of quoting, preparing, producing, delivering and supporting the relevant project.
You confirm that you either own the uploaded materials or have permission from the relevant rights holder to use them for the intended project. This includes logos, trademarks, images, typefaces, licensed brand assets and third-party creative work.
Stencil Audio is not responsible for verifying ownership, licensing or legal clearance of client-supplied artwork.
We reserve the right to refuse artwork that we reasonably believe is unlawful, infringing, offensive, unsuitable, misleading or inappropriate for production.
You are responsible for checking all artwork before approval and production, including spelling, dimensions, colours, logos, layout, resolution and file formatting.
Where proofs are supplied, production will proceed based on the approved proof. Stencil Audio is not responsible for errors that were present in client-supplied artwork or approved proofs.
We take reasonable care to reproduce artwork accurately, but colours may vary between screens, proofs, fabrics, print processes and installation environments. Exact colour matching is only provided where agreed in writing.
Low-resolution, incomplete or incorrectly prepared files may result in delays, additional charges or reduced output quality.

For best production results, please provide print-ready artwork wherever possible.
Recommended file formats:
- AI
- EPS
- PDF
- PSD
- PNG (high resolution)
- JPG (high resolution)
Recommended specifications:
- Minimum 300 DPI for raster artwork
- Vector artwork preferred for logos and typography
- Fonts outlined or supplied separately
- Correct dimensions and scaling included where possible
Please ensure:
- Colours are final and approved
- Spelling and grammar have been checked
- Logos and brand assets are accurate
- Layouts and positioning are correct
If artwork is not production-ready, Stencil Audio may:
- Request revised files
- Apply additional artwork setup charges
- Adjust files where necessary for production suitability
Production timelines may be affected where files require correction, resizing, reconstruction or reformatting.
Please do not upload:
- Highly sensitive personal data
- Confidential unreleased campaign materials
- Files you are not authorised to use
- Illegal, offensive or infringing content

When you upload artwork or project files, we may collect and process:
- Name and contact details
- Company information
- Project and event details
- Artwork files and branding assets
- Any personal data contained within uploaded files
We use this information to:
- Process enquiries and orders
- Review artwork suitability
- Prepare quotations and proofs
- Produce and deliver products or services
- Communicate regarding your project
- Maintain business and accounting records
- Comply with legal obligations
Our lawful bases for processing this information are:
- Contract
- Legitimate interests

Our upload facility is provided through WeTransfer. Files and upload information may also be processed in accordance with WeTransfer’s own terms, privacy policy and data processing terms.
We recommend that you do not upload sensitive personal data, confidential unreleased campaigns or highly commercially sensitive material unless agreed with us in advance.
Stencil Audio will not use client artwork to train AI systems or for unrelated commercial purposes.
We may share files or project information with trusted suppliers where necessary to deliver the project, including:
- Print and production partners
- Fabric suppliers
- Installers and couriers
- IT and cloud service providers
- Accounting providers or professional advisers
We keep artwork and project files for as long as reasonably necessary for quoting, production, delivery, support, repeat orders, warranty queries and business records.
Accounting and transaction records may be retained for up to 6 years where legally required.
We take reasonable technical and organisational measures to protect uploaded files and client information. However, no online transmission or storage system can be guaranteed to be completely secure.
You may have rights under UK data protection law, including rights of access, correction, deletion, restriction and objection.
